Privacy Policy
This Privacy Policy explains what information AJS Renderings (“we,” “us”) collects when you visit our website, send us an inquiry, or work with us on a project, and how we use, share and protect it. By using our site, you agree to the practices described below.
1. Information We Collect
Information you give us
Inquiry form: your name, email address, phone number (optional), subject, and the message you write.
Project materials: the files and details you send so we can do the work, such as floor plans, drawings, CAD or 3D model files, photos, measurements, material and finish selections, and the project or property address. For solar projects, this can also include roof details, equipment specifications, and utility account or energy-use information.
Billing details: the name, company and address we need to invoice you. We don’t receive or store full card or bank account numbers; payments are handled by our invoicing platform.
Information collected automatically
Usage and analytics data: pages visited, time on site, referring website, device and browser type, and general location (city or region), collected through Squarespace’s built-in site analytics.
Cookies and similar technologies: used by our Squarespace-hosted site to run core features, remember preferences and understand site traffic.
2. How We Use Your Information
To reply to inquiries, prepare proposals and schedule calls.
To produce renderings, drawings, models and other project deliverables, and to communicate about revisions.
To prepare and submit permit or utility interconnection documents, when that is part of the agreed scope.
To send invoices and keep business records through our accounting platform, Wave Financials.
To understand how our site is used and improve it.
To meet legal, tax and accounting obligations.
We don’t send marketing newsletters. If we ever do, we’ll only email you if you opt in, and every email will include a way to unsubscribe.
3. How We Share Your Information
We do not sell or rent your personal information. We share it only as needed to run our business:
Service providers: our website host (Squarespace), our accounting platform (Wave), our email provider, and the cloud storage and file-transfer services we use to exchange project files.
Your project team: designers, architects, builders, fabricators or installers you’ve asked us to work with, limited to what the project needs.
Permitting authorities and utilities: for drawing sets and solar projects we submit on your behalf, the information those applications require, such as the property address and the owner’s or applicant’s name.
Professional advisors: our accountant or attorney, as needed for compliance.
Legal requirements: if required by law or subpoena, or to protect our legal rights.
4. Your Project in Our Portfolio
We may show finished renderings and drawings in our portfolio and on social media. Before we do, we remove personal details such as client names, property addresses and title-block information, and we credit any design firm we worked with. If you’d prefer your project not be shown, tell us at any time, before or after it is published, and we’ll keep it private or take it down. Work covered by a confidentiality agreement is never shown without written permission.
5. Cookies & Analytics
Our site is hosted on Squarespace, which uses cookies and similar technologies to support core site functions, remember your preferences, and provide built-in analytics on how visitors use the site. You can control cookies through your browser settings; disabling them may affect some site features.
6. Data Retention
We keep inquiry messages for as long as needed to respond and follow up. We keep project files and models for the length of the project and afterward for revisions and our records, unless you ask us to delete them sooner. Invoices and billing records are kept for as long as tax and accounting rules require.
7. Your Choices & Rights
Ask what information we hold about you, ask us to correct it, or ask us to delete it, by contacting us (see Section 10). We may need to keep some records, such as invoices, where the law requires.
Ask us to keep your project out of our portfolio (see Section 4).
Control or block cookies through your browser settings.
8. Data Security
We use reasonable administrative and technical safeguards to protect your information and project files, including secure, password-protected access to our email, file storage and accounting platforms. No method of transmission or storage is completely secure, so we can’t guarantee absolute security. Please don’t send sensitive information such as bank details through the inquiry form.
9. Children’s Privacy
Our site and services are not directed to children under 13, and we do not knowingly collect their personal information.
